We’re looking for an Associate Executive PA (Personal Assistant) to work alongside and support the Executive Assistant (EA) in managing our Groups CEO's and Chief of Staff's time, so they can operate at their best effectively and efficiently.
The role is based in our Salford Quays, Manchester office, however there's lots of flexibility to work from home too with our hybrid approach. This is an intermediate role in which you'll be responsible for a highly confidential and professional PA service providing cover during any times of the EA’s absence and / or travelling between offices. You'll have heaps of enthusiasm and confidence, be hungry for success, thrive in a busy environment and be passionate about offering a great service.
Having a mix of skills, experience and initiative, you'll be extremely organised, proactive, display logical thinking and able to build and maintain relationships with colleagues at all levels across the business whist oozing with confidence.
To be successful in this role, you’ll need to have:
previous PA experience to a Team or Directors
proven IT skills including Excel, Word, Outlook & PowerPoint
knowledge of FCA requirements (including Treating Customers Fairly (TCF))
Job Responsibilities
Manage & co-ordinate diaries with conflicting priorities & able to resolve clashes swiftly & troubleshoot or escalate, as appropriate
Provide efficient support to the Group CEO’s Executive Assistant and cover during any times of their absence & travelling between offices
Co-ordinate arrangements for internal & external meetings (accommodation, itineraries, catering, travel)
Organise, facilitate and attend (where necessary) meetings and events in support of the Executive Assistant
Process expense claims and purchase orders, invoices and receipting
Assist with the production of documents & presentations, when required
Welcome guests to the offices by greeting them & ensuring all their requirements are met during their visit to the First Central office
Communicate professionally both internal & externally with key stakeholders
Support with personal commitments on an ad hoc basis
Comply with the requirements, and act in accordance with, the Group Code of Conduct and Fitness and Propriety policies at all times
Ensure compliance with Company Policies, Values and guidelines and other relevant standards/ regulations at all times
Experience
Highly organised & systematic
Efficient & attention to detail with the ability to multi-task
Strong written & verbal communication skills
Good time management & organisation skills, with the ability to work on own initiative
Some understanding of the business objectives & operations
