We’re First Central Insurance & Technology Group (First Central for short), an award-winning innovative insurance and technology organisation, delivering market-leading motor insurance, underwriting, distribution, finance, technology and legal services.

We currently have an exciting opportunity for a PA to Executive and Senior Leadership Team to join our Claims and Fraud team in Salford Quays, Manchester for up to 1 year on a Fixed Term Contract to cover for maternity leave.

This is a very broad and busy role providing a highly confidential and professional secretarial and admin support to the Executive and Senior Leadership Team. You'll manage and co-ordinate busy diaries with many conflicting priorities, be able to resolve clashes swiftly and troubleshoot or escalate, as appropriate.

With a mix of skills, experience and initiative is essential for this role, together with an individual who is extremely organised, can plan ahead and can display logical thinking in the workplace. You'll be someone who can build and maintain good relationships with colleagues at all levels across the business and who is confident in liaising with external stakeholders.

To be successful in this role, you’ll need to:

  • have strong demonstrable PA experience to a senior team of Directors

  • have excellent time management and organisation skills, with the ability to work on own initiative

  • have proven IT skills including Excel, Word, Outlook & PowerPoint

Job Responsibilities

  • Manage & co-ordinate busy diaries with many conflicting priorities & be able to resolve clashes swiftly & troubleshoot or escalate, as appropriate

  • Provide cover for the Group CEO’s Executive Assistant and other Executive PA's during any times of their absence & travelling between offices

  • Co-ordinate arrangements for internal & external meetings (accommodation, itineraries, catering, travel)

  • Oversee due dates for actions arising from Board & Committee meetings

  • Organise, facilitate and attend (where necessary strategy days and team meetings for the relevant pillar

  • Attend meetings & take minutes & actions, when necessary

  • Process expense claims

  • Support with e-mail management, where necessary

  • Assist with the production of documents & presentations & provide support with projects, when required

  • Process Executive and Directors’ holiday requests & absences using Workday

  • Welcome guests to the offices by greeting them & ensuring all their requirements are met during their visit to the First Central office

  • Communicate professionally both internal & externally with key stakeholders

  • Operate a continuous improvement mindset with identifying opportunities, making recommendations & executing improvements to systems & processes

Experience, skills & knowledge

  • Strong PA experience to a senior team of Directors

  • Highly organised & systematic

  • Efficient & attention to detail with the ability to multi-task

  • Strong written & verbal communication skills

  • Excellent time management & organisation skills, with the ability to work on own initiative

  • Excellent IT skills including Excel, Word, Outlook & PowerPoint

  • Good understanding of the business objectives & operations

  • Knowledge of FCA requirements (including TCF)
