We currently have an exciting opportunity for a Receptionist to join our Facilities team in Haywards Heath, West Sussex on a job share basis working 25 hours per week.

This is a front of house Receptionist role where you'll be be responsible for undertaking front of house duties, meeting and greeting visitors, ensuring a friendly and professional service at all times.  In addition, you’ll also provide comprehensive secretarial and administration support to the Facilities department and other teams when needed.

Our receptionist role is a job share position, we are currently looking for somebody to provide cover Monday to Friday from 12:30 pm – 5.30 pm, this role will involve the need for you to be able to cover a full day 8 am – 5.30 pm when the other member of the team is on annual leave. These hours are also subject to business requirements change.

You’ll be great in this role if you have:

  • Experience of working in a front of house receptionist role.
  • Have previous experience and knowledge of working within Facilities and Health and Safety, although this is not essential.
  • Are able to work longer hours to cover when your colleague is on annual holiday.

What’s involved:

  • Direct visitors to the appropriate person and office.
  • Ensure reception area is tidy and presentable.
  • Take deliveries and ensure they are actioned in good time to prevent build-up of materials in reception area.
  • Provide basic and accurate information in-person and via email.
  • Receive, sort, and distribute daily mail.
  • To arrange delivery and collection via couriers/special delivery/recorded delivery.
  • To ensure all staff/visitors/guests are aware and abide by all FCIM Health and Safety rules.
  • To issue all contractors with Work Permits on arrival in conjunction with the Facilities Deputy Manager.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Perform other clerical receptionist duties such as photocopying/scanning for the department.
  • To ensure the Haywards Heath Car Parking systems are fully up to date, including full responsibility for ensuring APCOA are in receipt of FCIM data.
  • Responsibility for the ACT system, actioning visitors passes, starters, leavers ensuring everyone has their pass at all times and carrying out security audits.
  • Maintain building security.
  • To cover the other part time receptionist’s annual leave.
  • To order stationery and staff refreshment from appropriate suppliers following weekly stock take by Facilities Assistant.
  • To assist the Facilities department in administration duties (e.g., Risk assessments, monthly checks) and also support other departments where required - To ensure compliance with company and other relevant standards/ regulations at all times (including TCF) - Any other reasonable duties as required.
  • Comply with the requirements, and act in accordance with, the Group Code of Conduct and Fitness and Propriety policies at all times.
  • Ensure compliance with Company Policies, Values and guidelines and other relevant standards/ regulations at all times.

Experience & knowledge

  • Experience in a front of house receptionist role.
  • Experience and knowledge of Facilities and Health and Safety (not essential).

Skills

  • Excellent communication skills, both verbal and written.
  • Excellent organisation skills with the ability to manage a variety of tasks simultaneously.
  • Good customer service skills when liaising with internal departments and external visitors and suppliers.
  • Good numeracy and literacy skills.
  • Competent IT skills with a good knowledge of MS Word, Excel and PowerPoint.
  • Excellent time management and organisation skills, including process management.
  • Able to prioritise effectively.
  • Problem solving skills with the ability to adopt a logical approach to resolving problems.
