At 1st Central, we’re all about making things simple, efficient, and people-focused - and our Front of House team plays a key role in creating a great experience for everyone who walks through our doors. We’re looking for a professional, organised and friendly Front of House Administrator to join us at our Salford Quays, Manchester office. You’ll be the first point of contact for guests and colleagues, helping to maintain a safe, welcoming, and smooth-running workplace.

- Front of House Expertise with Tech Confidence - you’ll bring proven experience in reception, administration, or a customer-facing hospitality role, creating a warm and professional first impression while confidently using MS Office (Word, Excel, PowerPoint) and quickly getting to grips with office security systems and other software tools.
This is an office-based role, and you’ll be required to work on site Monday to Friday.
What’s involved:
Front of House:
- To be the face of 1st Central, greet and welcome all colleagues, guests and visitors to the office and direct them to appropriate person and/or office as required.
- Liaise with colleagues to support any additional requirements for their guests, ensuring an exceptional experience.
- Ensure Front of House area is always tidy and presentable; clutter is regularly removed and housekeeping issues addressed.
- Ensure the policies and procedures around visitors are adhered to, including monitoring of visitor’s logbook and ensuring visitors are not left unattended in the waiting area.
- Maintain presence at the Front Desk, liaise with team members when away to ensure adequate monitoring and cover. Additionally, to cover the annual leave of the other member of the local Front of House team.
- Coordinate with other Front of House team members to ensure smooth and streamlined approach across 1st Central offices.
- To be the first point of contact for all Facilities services, triage all incoming queries and requests, provide basic and accurate information in first instance.
Security:
- Maintain building security through following all safety procedures, monitoring of CCTV and door access control systems for faults and issues and enforcing adequate management of visitors. Escalate any suspicious behaviours, issues with entry and exit points, security alarms or physical integrity of the building as required.
- To maintain high level of office security in line with ISO27001 Information Security Management, Physical Security Standards and existing Risk Control activities. Be the point of contact and provide supporting information for security auditing and control testing activities.
- Oversee the day-to-day administration of the door access control systems, including actioning visitor access requests, actioning all Joiner/Mover/Leaver access changes, issuing access to contractors, ensuring colleagues carry access passes while in the office.
- Undertake all scheduled auditing and risk control activities and provide regular status reports to Facilities Operations Manager.
Post Room:
- To receive all incoming post, sort it, log it and distribute daily as well as ensure the despatch of daily outgoing post. To escalate any issues in line with the operational procedures and keep the key stakeholders informed of any impact to service.
- To arrange deliveries and collections for via couriers/special delivery/recorded delivery for the business, in line with operational procedures.
- Receive incoming deliveries and ensure they are actioned in good time to prevent build-up of materials within Front of House area.
Health and Safety:
- To ensure all colleagues, visitors and guests are aware of and abide by all 1st Central Health and Safety procedures.
- To issue all 1st Central contractors with Permits to Work on arrival in conjunction with the Facilities Operations Management Team.
- To provide support during the regular fire alarm testing and scheduled fire drills, as well as during testing of other building emergency systems.
- To monitor emergency provisions within Front of House area.
- To provide administrative support for all Health and Safety operations within Facilities.
Business Continuity and Incident Management:
- To participate in relevant Business Continuity and Operational Resilience exercises, both in person and virtual, including providing operational insights and embedding any follow up changes to the Front of House emergency procedures.
- Support Crisis Management Teams reps during incidents and emergencies.
- Adhere to all agreed emergency procedures and follow the Incident Management Notification protocols.
Administration:
Operations
- Liaise with Facilities Operations Team and third-party maintenance service provider to ensure smooth service.
- Log support requests with Facilities Operations Team and third-party maintenance service provider as required.
- Support Facilities Operations Team with any other clerical duties as required, including all JML administrative actions.
- Maintain stock of security supplies and restock as required.
- Provide administrative support during internal events.
Parking
- Ensure adherence to Group Parking Policy, incl. carrying out of audits, issuing strikes for policy breaches, monitoring and reporting of non-compliance.
- Day-to-day administration of Parking Permit database for all colleagues.
- De-escalation of Penalty Charge Notices issued to colleagues by third-party parking providers as appropriate.
Experience, knowledge & skills:
- Experience in Front of House, Reception, Administration or similar, ideally with some knowledge of Facilities and Health & Safety (desirable but not essential).
- Strong communication and customer service skills - confident liaising with colleagues, visitors and suppliers in a professional manner.
- Highly organised with excellent time management, able to prioritise effectively, manage multiple tasks, and maintain accurate processes.
- Good numeracy and literacy with problem-solving skills and a logical, solutions-focused approach.
- Competent IT skills, confident with MS Word, Excel and PowerPoint, and able to pick up new systems quickly.
